Joy FM is looking for a part-time Office Assistant. All applicants must be self-motivated, personable, eager to learn and professional in manner, dress, and grooming. Impeccable people skills, as well as an ability to maintain and grow relationships, are central. Team members of PAR and the radio station are expected to show extreme passion for the Gospel, aligning their personal mission & vision with the organization’s, and creating experiences with every contact made with the organization. PURPOSE OF THE POSITION (The main reason for the position, in what context and what is the overall end result) The Office Assistant is responsible for assisting as the radio station’s first-impressions to the public, its donors, and its listeners; engaging, inspiring, and aiding to the point where service leaves a marked difference far beyond the moment of contact. In addition, assisting the front offices, providing financial, administrative, traffic, client support, and clerical services in order to ensure effective, efficient and accurate financial and administrative operations. The Office Assistant must comply with established policies and procedures. SCOPE (The way that the position contributes to and impacts on the organization) The Office Assistant reports to the Office Manager and the General Manager and is responsible for providing financial, administrative, traffic, and clerical support, assistance, & services. This includes aid towards processing and monitoring locally-generated income, scheduling radio airtime traffic, processing client billing, serving visitors and callers, coordinating Sharathons throughout the year, and maintaining an efficient workflow environment with the front office(s). Providing these services in an effective and efficient manner will ensure that deposits, billing, traffic, and customer service opportunities are accurate and up to date, that underwriters are served and the station’s business office is viable and professional. ESSENTIAL RESPONSIBILITIES (Major responsibilities and target accomplishments expected of the position including the typical problems encountered in carrying out the responsibilities.) -Answer telephones on first ring -Assist the front office of Joy FM's studio by maintaining flow & organization between departments, outside businesses & the public -Assist to Maintain station files, retrieval, paperless scans, & sensitive-document destruction -Assist with checking station PO Box (mail) at least three times a week. -Provide assistance to Process incoming donations and payments -Provide assistance to Deposit station income at least three times a week (M, W, F) -Provide assistance to Respond to emails from public within 24 hours, if possible -assist in maintaining the public file -Provide assistance to Track inventory & supplies of prize closet, Joy FM merchandise, & Sharathon premiums -Assist managers with correspondence & projects -Provide assistance to Manage mail-outs & billing -Provide assistance to Respond to station voicemails -assist underwriting reps with contracts & confirmations -Provide assistance to coordinate and communicate information between other Joy FM offices & corporate PAR -Provide assistance to Traffic & Billing for Joy FM Network, WXRI, WTJY, WPIR, & WRFE -Provide assistance to Sharathon prep & volunteers -Provide assistance to manager NON-ESSENTIAL RESPONSIBILITIES (Other responsibilities and target accomplishments expected of the position including the typical problems encountered in carrying out the responsibilities.) -Provide assistance to compile church list across Joy FM listening area -Provide assistance to Conduct audience research at concert events -Assist with station promotions -Other duties as assigned by management KNOWLEDGE, SKILLS AND ABILITIES (The knowledge, skills and attitudes required for satisfactory job performance) Knowledge The incumbent must possess knowledge in the following areas: knowledge of office administration and bookkeeping procedures knowledge of Natural Log software knowledge of traffic/billing functions and procedures knowledge of Denari donor database software knowledge of Pitney Bowes postage system ability to maintain a high level of accuracy in preparing and entering financial information confidentiality concerning financial, donor, client, and employee files knowledge of the station’s Public File and how to assist the public knowledge and adherence to the company’s Mission, Vision, Strategy, Values and BHAG Skills The incumbent must demonstrate the following skills: excellent interpersonal skills team building skills bookkeeping skills analytical and problem solving customer service skills decision making skills effective verbal and listening communications skills attention to detail and high level of accuracy very effective organizational skills effective written communications skills computer skills including the ability to operate computerized donor database, traffic & billing software, spreadsheet application, wordprocessing program, and e- mail at a highly proficient level stress management skills time management skills Personal Attributes The incumbent must maintain strict confidentiality in performing the duties of the Office Assistant. The incumbent must also demonstrate the following personal attributes: be honest and trustworthy be respectful possess cultural awareness and sensitivity be flexible demonstrate sound work ethics The incumbent would normally attain the required knowledge and skills through completion of traffic, bookkeeping, and office procedures coursework combined with related industry, financial, and administrative experience. Equivalencies will be considered. WORKING CONDITIONS (The unavoidable, externally imposed conditions under which the work must be performed and which create hardship for the incumbent including the frequency and duration of occurrence of physical demands, environmental conditions,demands on one’s senses and mental demands.) Physical Demands (The nature of physical effort leading to physical fatigue) The Office Assistant will spend long hours sitting and using office equipment and computers, which can cause muscle strain. The Office Assistant will also have to do some lifting of supplies and materials from time to time. Environmental Conditions (The nature of adverse environmental conditions affecting the incumbent) The incumbent is located in a busy, open area office. The main office is in direct access to the general public who may walk in for a visit, appointment, or conducting general business. The incumbent is faced with constant interruptions and must meet with others on a regular basis. Sensory Demands (The nature of demands on the incumbent’s senses) The incumbent must spend long hours in intense concentration. The incumbent must also spend long hours on the computer entering financial information which requires attention to detail and high levels of accuracy. Mental Demands (Conditions that may lead to mental or emotional fatigue) There are a number of deadlines associated with this position, which may cause significant stress.
