Trade Show and Event Manager

Ohio Veterinary Medical Association | Powell, OH

Position Summary:

The Ohio Veterinary Medical Association is seeking a trade show and event manager who will report to the OVMA Director of Educational Events. This position will provide administrative and logistical support for association events including, but not limited to, the Midwest Veterinary Conference exhibit hall. The role will be responsible for overseeing the trade show operations, serving as the point person for vendors and supporting all association events throughout the year.

Duties and Responsibilities:

  • Exhibit hall management for the Midwest Veterinary Conference
  • Promotion and sales of exhibit booths to existing and new vendors
  • Planning, design, outreach via email, phone, social media for sales
  • Outreach and upkeep of potential exhibitors and sponsors
  • Relationship building with current and potential exhibitors and sponsors.
  • Proposal and contract upkeep with show decorator, other vendors as needed.
  • Floorplan planning, design and approval with venue and decorator
  • Exhibitor database, including contacts and appreciation points.
  • Planning for exhibit hall specific functions such a happy hour, social space, games and other promotions
  • Review and implementing the exhibitor and sponsor contracts with each booth/vendor.
  • Customer service for vendor questions, tasks/deadlines, requests, etc.
  • Planning and upkeep of event exhibitor list with internal team and decorator
  • Facilitate booth staff registration prior to event and on-site.
  • On-site operations including coordinating with the decorator, registration, vendor requests, customer service and facilitating exhibit hall promotions/events.

Other Association events:

  • Work with OVMA Director of Educational Events to support all association events throughout the year. These include but aren’t limited to:
    • Midwest Veterinary Conference
    • OVMA board meetings and the annual board retreat
    • OVMA Legislative Day
    • Periodic educational programs and activities
    • Support and serve as the primary backup for the Director of Educational Events for all MVC
      programming.
    • Utilize Association database and other tools to manage event registration and logistics.

General Staff Responsibilities:

  • Work with association database software, inputting and extracting data where appropriate.
  • Maintain information reference files for responding to inquiries in a timely manner.
  • Compose/prepare professional business documents/reports/presentations as needed.
  • Assist in providing member service via general telephone and email inquiries.
  • Maintain accurate working knowledge of all commonly used office equipment.
  • Read veterinary-related publications to keep abreast of trends, new information and issues.
  • Periodically attend professional development and continuing education programs of relevance
    within the association and communications fields; and as the association budget allows.
  • Other duties as may be assigned.

  • Excellent communication and interpersonal skills
  • Strong organizational skills with attention to detail
  • Experience in meeting/event planning/coordination.
  • Ability to work with minimal direction as well as interact and work well with other staff.
  • Ability to prioritize tasks, balance multiple priorities and meet deadlines.
  • Demonstrate personal initiative and devotion to the organization’s mission.
  • Ability to work independently with minimal supervision.
  • Proficient with common communication and business tools (i.e. Google Workspace, Microsoft Office, etc.)

Minimum Educational Experience Qualifications:

Bachelor’s or associate degree

Preferred Education/Experience Qualifications:

The above mentioned minimum educational experience qualifications with two to three years related work experience.
