Parish Administrator

The church Parish Administrator is responsible for professional oversight of all office functions,

including supervision of support staff (secretarial staff, office volunteers, custodial services) as

well as day to day facility and equipment management. Responsibility also includes church book

keeping and preparation of financial reports for the Treasurer and church.

JOB MISSIONS:

1. The church Parish Administrator must ascribe to the visions and expectations document

of the ELCA in regard to judiciary, spiritual and sexual conduct.

2. Provide oversight to the church administrative support and office volunteers.

3. Ensure church weekly bulletins are prepared accurately and on time for Sunday worship

services, Lenten and Advent services as well as other services as needed.

4. Prepare accurate and timely summaries of the financial picture to be reported by the Treasurer

5. Provide accurate monthly representation of the financial status of the congregation.

6. Support the Pastoral staff in all tasks assigned to ensure smooth operation of the office.

7. Support the Gloria Dei Treasurer in all tasks as assigned to provide information for committees and council to carry out their responsibilities.

8. Have a strong commitment to the mission of Gloria Dei

9. Support Human Resources in documentation requirements for new employees, such as background checks, I-9, W-4 and other required documents.

EXPERIENCE AND KNOWLEDGE

1. High school diploma required

2. Accounting / Financial degree desirable

3. Previous work experience in accounting function required

4. Must be able to manage multiple assignments and meet all deadlines

5. Previous experience as an Office Manager

DUTIES AND RESPONSIBILITIES

1. Maintain Church calendar and assist in maintaining Pastoral calendar, if desired

2. Provide for compilation of all financial reports in time for Council Meetings and Annual meetings

3. Manage the day to day operation of the church office, ensure secretarial and receptionist coverage, adequate inventory of office supplies and office equipment in working order

4. Work with Digital Media Specialist to ensure adequate internet services and virus/phishing protection for all office hardware

5. Manage the basic accounting information for Gloria Dei, including balance sheets and accruals

6. Analyze spending patterns to determine opportunities for cost savings within Gloria Dei

7. Provide for monthly reporting of additional Church funds (Memorial Committee, Building Fund, etc.)

8. Provide accurate and timely reporting in detail for each discipleship

9. Assist in preparation of annual church budget, as directed by Treasurer

10. Assist in preparation of any reporting requirements for the ELCA and/or Synod reports

11. Attend committee meetings as a member of the Finance Committee

12. Reconcile cash funds including petty cash and checkbook

13. Act as liaison between Gloria Dei, Gloria Dei Preschool and ADP in payroll processing and all activities between the parties

14. Review and recommend changes to the general management of the church bank accounts

15. Review invoices for approval based on approval matrix. Also ensure account coding accuracy

16. Maintain accurate membership and non-member contact addresses, phone numbers and email addresses

17. Other duties as instructed by Treasurer or Pastor

REVIEW AND SUPPORT

1. Annual performance review by Pastor and Treasurer

2. In conjunction with the Pastor and Treasurer develop and maintain a growth and development plan, which will be reviewed annually.
